WhatHub Installation Procedure
Whatsapp Web

1.
After installing the WhatHub extension, you must open Whatsapp Web on your browser. You can do so by clicking this link: https://web.whatsapp.com/ If you already have it open, you must refresh said page for it to start working. If you haven't got your Whatsapp connected to Whatsapp Web, you can click on the WhatHub icon in your browser's toolbar in the upper right corner and press "Open Whatsapp Tab". You can also click on the link above to be redirected to the Whatsapp QR code.

To connect your Whatsapp and your HubSpot portal, you must click on the yellow message in the upper left corner of your screen. This will take you to your hubspot account for authentication:
- If your account has already been authenticated and you have one assigned portal, you won't have do any further steps.
- If your account has already been authenticated but you have more than one assigned portal, you will have to choose which of these you would like to use with the extension.
- If your account hasn't been authenticated, you must enter your username and password to login to your account. Then, depending if you have one or more portals assigned to you, you may proceed like the options previously mentioned.

If your Whatsapp and HubSpot have not connected after these steps, you must verify you have the necessary permits to use this tool. You must have access to View and Edit your "Contacts", as well as have access to Lists in the "Marketing" menu. To check if your user has these functions enabled, you can go to "Configurations", "Users and teams" and then click on your user. If you are not authorized to use any of these functions, you must contact your team portal administrator so they can grant you access.

Once the extension has fully loaded on Whatsapp, you'll see a full scan take place. The extension will look for conversations with contacts who are already registered in your HubSpot portal. This can take a few minutes.
- Important: WhatHub will only transfer your Whatsapp conversations for those contacts that are set to be synced. There is no risk of private or personal conversations being synced by mistake.

The scanning is predetermined to take place every 5 minutes, but the messages can be sent in the intervals you find most convenient. You can change these by clicking on the WhatHub icon in your browser toolbar, changing the time interval there and pressing "Save". You can also enable or disable the following functions:
- Skip unread messages (advanced users only!)
- Open contacts in new tabs.
- Use Custom "New Contact" form (advanced users only!)

6.
After the tool has finished scanning, when you open a new Whatsapp conversation for the first time, you will see a HubSpot icon next to the contact's name or phone number. If said icon is orange, a contact with the same number has been found in the HubSpot portal. If it is gray, the phone number is not registered under any contact. This can occur because:

The contact may be new and it has not been registered in the HubSpot portal or the existing contact doesn't have a phone number associated to it. If this is the case, you can create a new contact from Whatsapp Web by clicking on the "Create/Link in HubSpot", on the upper right side of your screen. A menu will pop up where you will be able to fill in the required contact information. The contact's email address in mandatory for its creation. If the contact already exists, you must insert their registered email address. That way, their HubSpot profile will be updated and it will not create duplicates.

You can find the contact's information within the Whatsapp contact profile on the right side of your screen. You will see the "AutoSync" button, which will have to be enabled if you want the messages to be registered on your contact's timeline. If you do not want this, you can simply disable this function

If you want to see how these messages are seen in your portal's timeline, you can enter the corresponding contact's profile. The messages will be seen like this:
-Clarification: The "Auto Sync" function is linked to a contact property, which can be modified manually from Whatsapp, or from HubSpot, like any other property (from the list of contacts in a workflow or through the API).

If you want to register specific messages, you can select them and add them to a Note on the right side of your screen. Said note can be attached to a Ticket, a Deal or a Company.
- Clarification: this is not mutually exclusive with the "Auto Sync" function. This can be used, for example, to highlight particular messages.

If you want to see how these messages are seen in your portal's timeline, you can enter the corresponding contact's profile. The messages will be seen like this:

To create a new Task: Click on "New Task" on the right side of your screen. A menu will pop up and you will have to complete the required information to register said task in HubSpot.

To add a Note: Click on "Add a Note" on the right side of your screen. A menu will pop up and you will have to complete the required information to register said note in HubSpot.

To create a new Deal: Click on "New Deal" on the right side of your screen. A menu will pop up and you will have to complete the required information to register said deal in HubSpot.

To create a new Ticket: Click on "Create a Ticket" on the right side of your screen. A menu will pop up and you will have to complete the required information to register said ticket in HubSpot.

WhatHub also allows you to sent predetermined message templates to those contacts who are already registered in the HubSpot portal. To access said templates, you can click on the "Templates"button at the bottom of your screen. A menu will pop up with all the templates available, which can be modified if needed.

To open a new conversation with a new contact, you can click on the "Start New Chat from Number" button on the upper left side of your screen. This will open a tab where you can insert the new contact's phone number in order to start chatting.

If you have any questions or difficulties concerning the extension, you can contact our team by clicking on the "Contact Technical Support" button. This will redirect you to a new Whatsapp conversation, where our team will answer as soon as possible.
HubSpot Portal

The WhatHub extension allows you to send Whatsapp messages from your HubSpot portal. To do so, you must got to the contact's timeline and, on the left side of your screen under the contact's name, click on the Whatsapp icon. When you do so, a tab will open where you will be able to write your message.

You can also send predetermined message templates. To access said templates, you can click on the "Select Template" button at the bottom of the tab. A menu will pop up with all the templates available, which can be modified if needed by clicking "Edit Templates"

You can filter your contacts based on their Whatsapp interations. To do so, you can create a list using the following filters:
